We are currently in search of a Grants Assistant for an International Social Service Organization. The position is based in Washington, D.C. This is a Permanent, full-time assignment.

Is This Your Dream Job? The Grants Assistant is accountable for 1) working with partners to collect information needed to create detailed and accurate accounts for international partner travel reimbursement, and 2) ensuring all aspects of wire payments to international partners are completed. This position plays a significant role in ensuring that partner payments are made in a timely manner, thus leading to both partner satisfaction and stability and the organization’s timely grants reporting and planning around use of funds.

Our Ideal Candidate:

Minimum of 2-3 years of professional experience specifically relating to:

  • Experience using Excel, Google Drive, Outlook, SharePoint and comfortable in reviewing information within these formats
  • Ability to handle confidential information with discretion
  • Familiarity with reimbursements, processing, partner relations
  • Commitment to high quality work, detail oriented

How You Will Spend Your Day:

  • Process partner travel reimbursements for international partners, including collecting information from partners and colleagues, completing table with days of travel and other information, and working with other grants team colleagues to apply grant, activity, and objective coding
  • Provide confirmations to international partners when wire requests submitted, and also to issue bank confirmations once received
  • Work with Senior Grants Associate for confirmation of deliverables met, conduct weekly review of payment/transfer schedules across sub-grant and sub-contractor partners and issue wire requests including correct grants/objectives coding
  • Collect necessary information for wire transfers, including conducting SDN check list for all payments to international partners
  • Follow confirmation of wire transfers, enter USD amounts into transfer and payment schedules, based on actual exchange rates applied and enter into financial accounting system, and provide confirmation records to partners
  • Support process and communications around contracts and amendments for international partners, including drafting and/or reviewing information based on existing templates, issuing to partners and ensuring contracts and amendments are dually signed, and providing copies to international partners
