We are currently in search of a Nonprofit Administrative Assistant for a Social Services Organization. This is position is based in Downtown (Loop) Chicago, Illinois.

POSITION TITLE: Nonprofit Administrative Assistant

DURATION: Temporary, part-time (16-20 hours/week)

PAY RATE: $13.00-16.00/hour

The Nonprofit Administrative Assistant will directly support the CEO and Director of Operations on special projects and office management tasks including but not limited to: calendar and email management, data queries, and accounts payable updates. The Organization is seeking a mission-driven, results-oriented, hardworking team player who takes great pride in their work and has strong integrity.  

Our Ideal Candidate:

  • Minimum 1-3 years of administrative experience, preferably in a nonprofit office setting
  • Proficiency with Microsoft Office Suite required
  • Experience with Salesforce and Sharepoint preferred
  • Must possess effective written and oral communication skills and strategic and analytical thinking skills
  • Able to work well under pressure, meet deadlines, manage multiple projects, and prioritize competing responsibilities.
  • Comfortable working in a culture of diversity and inclusion.
  • Ability to work independently and as part of a group and contribute to a positive office culture

How You Will Spend Your Day: 

  • Calendar and email management for the CEO including scheduling meetings, managing junk/spam emails and updating contacts.
  • Sort and distribute mail, accept orders for office supplies from staff and order as directed, make conference room reservations and provide copying as needed
  • Collect receipts for monthly credit card transactions and provide transaction details on the credit card tracking log for the Director of Operations.
  • Compile invoices, check requests and expense reimbursements for the weekly Accounts Payable reports
  • Assist the CEO with receipt management for monthly expense reimbursements.
  • Collect timesheets from staff and check Sharepoint to ensure all time sheets are uploaded and available for Director of Operations
  • Assemble cash disbursements and draft administrative communications for the CEO including legislative mailings
  • File Illinois Lobbyist expenditure reports on a semi-monthly schedule and upload the report to Sharepoint.
  • Assist with travel arrangements for the CEO
