We are currently in search of an Administrative Assistant, Development for an Association. The position is based in Deerfield, IL This is a full-time, permanent position.

SALARY: $40,000 – $45,000

The Administrative Assistant, Development will report to the Director of Development and provide administrative support in carrying out all aspects of fundraising and programmatic activities for the Association’s Trust. These responsibilities include the areas of database management, donor cultivation, stewardship research, scholarships, networking, educational programs, relationship-building, sponsorship, program and special events management. The Association is seeking an organized and positive individual who has good communication, proficiency in Excel, and who excels at grammar and proofreading. 

Our Ideal Candidate:

  • 2+ years administrative and customer service experience.
  • Knowledge of Microsoft Office Suite, advanced proficiency in Microsoft Excel required.
  • Strong proofreading ability and knowledge of grammatical rules required.
  • Knowledge of customer relationship management systems, eTapestry experience a plus.
  • Knowledge of scholarship databases and survey management software.
  • Competency in office machines such as telephone, video conferencing (Zoom video software), and computer/software capabilities.
  • Excellent written and verbal communications skills.
  • Strong project management, attention to detail.

How You Will Spend Your Day: 

  • General correspondence including acknowledgment letters, program announcements, and appeal letters.
  • Assists with marketing, mailings, prospect research, agenda preparation, reporting, budget preparation, meetings/event/program planning, preparation and execution.
  • Assists with fundraising activities including donor, prospect and sponsor research, solicitation, and stewardship.
  • Responds to donor and prospect queries and requests.
  • Management of giving platforms including gift entry, tracking, reporting and data maintenance.
  • Management of web content for consistency, accuracy, updates, and revisions.
  • Assists with quarterly Board teleconference meetings as well as other meetings of the Board as necessary.
  • Assists with the preparation and execution of all special and programmatic events.
  • Assists with program management including scholarship programs, job fairs, job postings, research grant data management, community-service projects, etc.
  • 5%-10% travel required.
