We are currently in search of an Advancement Coordinator for an Educational Program.

ORGANIZATION: Educational Program

LOCATION: Wood Dale, IL

POSITION TITLE: Advancement Coordinator

DURATION: Temporary to Permanent

SCHEDULE: Full-Time (40 hours/week)

HOURLY PAY: $18.00 – $20.00/hour

Annual Pay: $48,000 – $50,000

 

Is This Your Dream Job?  The Advancement Coordinator reports to the Director of Advancement, then to the Executive Director, and will work closely with the Leadership Team of the organization and the business office. The Advancement Coordinator has primary responsibility for all special events, including fundraising events, third party events, and on-site events. The Advancement Coordinator is also responsible for annual mailed appeals, networking to promote the organization, as well as to present to outside constituents.

Our Ideal Candidate:

  • Bachelor’s Degree, strongly preferred
  • 2+ years of experience in advancement, database management and events, required
  • Experience in Raiser’s Edge, required
  • Experience with donor cultivation and processing gifts, required
  • Experience in special events planning, required
  • Working knowledge of applicable computer and software systems including:
    • Microsoft Office (including Outlook, Word, Excel and PowerPoint)
    • Raiser’s Edge 7 (Blackbaud), Greater Giving or comparable customer relationship management system
    • Adobe Design Suite (specifically InDesign, Photoshop and Adobe Acrobat)
    • WordPress
  • Knowledge of the process and techniques necessary to execute a fundraising event
  • Ability to communicate clearly, pay attention to detail, multi-task, and meet deadlines
  • Ability to attend special events, inclusive of those that occur in the evening and on weekends

How You Will Spend Your Day:

  • Special Events
    • Plan, coordinate, implement and manage all events, which includes:
      • Logistics: timelines, work plan, deadlines, financial tracking and reconciliation with the Business Office/accounting of the organization
      • Build events on tracking platforms (i.e Greater Giving)
      • Sponsorship coordination, solicitation, stewardship and recognition
      • Item procurement, solicitation, stewardship, recognition, in-kind contribution management, and donor coordination post-events
      • Committee recruitment, management, support, meetings and committee communication
      • Development of marketing materials related to the event for both print and digital use
      • Accurate record keeping/tracking of all data relating to the special events
      • Coordination of volunteers
      • Coordination of projects and relationship management with vendors
    • Attendance at all of the above events is required.
    • Maintain accurate and complete records and files for each assigned special event and activity and routinely review the status of each with the Director of Advancement. Reconcile event details with the Business Office routinely both prior to and following special events. Utilize event spreadsheets, Raiser’s Edge, and Greater Giving to accurately track data
    • Monitor & Coordinate School Committees with Principal
  • Annual Giving
    • Manage and execute annual giving mailings to include 1-2 mailed appeals annually
    • Includes production/development of solicitation materials, development and maintenance of mailing lists, coordination with mail house/vendors as needed, and stewardship
  • Community Relations
    • Coordinate and represent the organization at community events, conferences, trade shows, expos and with community organizations in collaboration with the Advancement Team
    • Collaborate with these organizations on appropriate third-party events and/or solicitation of support for outright donations
    • Represent with civic organizations and Chamber’s. This will include networking and social engagements to increase the awareness of the organization while building relationships toward future partners, sponsors, and vendors
  • Advancement
    • Manage annual school-wide giving campaigns/themes, working with Social Worker and Teaching staff, to create campaigns and classroom lessons
    • Support of the Director of Advancement relating to: solicitation through mailings and annual appeals, research, preparation for minor/major gift solicitation, office management, etc.
    • Utilize research tools to seek potential funding partners
    • Utilize Raiser’s Edge for data management of all constituents and for reports
    • Coordinate annual spirit wear sales
    • Assist with cultivation of staff relationships to encourage involvement in event committees
  • Strategic Planning
    • Execute activities to ensure the success of all pillars of the Strategic Plan
  • Other
    • Maintain current knowledge of mission, goals, and strategic plan
    • Keep abreast of the organizations activities and properly utilize the resources available
    • Assure the proper use, management, security and upkeep of the facilities, equipment and documents
