We are currently in search of a Meeting Planner for an Association. The position is based in Northern Chicagoland. This is a full-time, permanent position.

DURATION: Full-Time, Permanent

SALARY: $65,000-75,000

The Meeting Planner is responsible for guiding a staff team to achieve results aligned with the organization’s business strategy. Logistical lead for a major meeting and works on various events at the Annual Meeting. Liaison to various vendors and contacts to execute quality requirements, while maintain sound fiscal practices.  This position manages projects and work flow within a cyclical time frame.

Our Ideal Candidate:

  • Will possess at least 3-5 years of experience in a fast-paced, team-oriented, deadline-driven professional environment, required
  • Minimum 3-5 years of related meetings logistics experience required
  • Must be highly organized, pays attention to details, and provides good follow-up.
  • Must demonstrated project management and oversight abilities.
  • Must possess the proven ability to simultaneously manage several complex projects
  • Ability to respond positively and creatively to new challenges and responsibilities as they arise
  • Is computer savvy and/or is willing to embrace, learn and use technology
  • Must be proficient with basic computer programming, including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Must have the ability to travel domestically and internationally up to 25% required

How You Will Spend Your Day:

  • Oversee coordination of all meeting logistics and vendor contract negotiations.
  • Leads team meetings and develops agendas.
  • Manages General and VIP Housing Block
  • Responsible for management collateral for meeting
  • Coordination of spec book & electronic spec book
  • Manages site selection and RFP process for future Meeting sites.
  • Manage contract review process when multiple contracts are in process.
  • Reviews contracts for Convention Centers and hotels for future meetings and conferences as required.
  • Manage contract review process that have been assigned to other Planners to ensure that deadlines are met.
  • Manages the budget preparation of documents with various departmental staff.
  • Works closely with Meeting Services Director to submit a balanced budget to the Director of Finance.
  • Works closely with Meeting Services Director throughout cycle to track “wish list” items, recommendation approvals, account adjustments and final actual costs.
  • Create Crisis Management manual and distributes to all staff attending meeting and the Executive Committee.
