We are currently in search of a Meetings Manager for an Association. The position is based in Northern Chicagoland. This is a full-time, permanent position.

DURATION: Full-Time, Permanent

SALARY: $83,000-88,000

The Meetings Manager is responsible for working with various staff teams, direct subordinates and member leaders to achieve results aligned with the organizations business strategies.  This position manages people, projects and work flow within a cyclical timeframe.

Our Ideal Candidate:

  • Will possess at least 5 years of experience in a fast-paced, team-oriented, deadline-driven professional environment, required
  • Minimum 5 years of related meetings management experience required
  • Must be highly organized, pays attention to details, and provides good follow-up.
  • Must demonstrated project management and oversight abilities.
  • Must possess the proven ability to simultaneously manage several complex projects
  • Ability to respond positively and creatively to new challenges and responsibilities as they arise
  • Is computer savvy and/or is willing to embrace, learn and use technology
  • Must be proficient with basic computer programming, including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Must have the ability to travel domestically and internationally up to 25% required

How You Will Spend Your Day: 

  • Oversee coordination of all meeting logistics and vendor contract negotiations.
  • Lead team meetings and develops agendas
  • Preparation of Annual Meeting Budget and works with superiors to submit a balanced budget for Finance Committee and Executive Committee review/approval.
  • Manage contract review process that have been assigned to other Meeting Managers and/or Planners to ensure that deadlines are met
  • Manage site selection and RFP process for future Meeting sites
  • Execute contracts for Convention Centers and hotels for future meetings and conferences.
  • Assists subordinates in resolving production flow issues
  • Review/process timesheets, vacation and industry organization conference request.
  • Prepares department reports for Director
